Transference copies by the Docks/Export Deptt.-reg.
Attention of Steamer Agents / Exporters is invited to complaints received from Exporters regarding non-receipt of Transference copies of exports, from CFS/ICD through Gateway ports Mumbai / Nhava Sheva. Following procedure is required to be adopted in receiving and despatch of the Transference copies by the Docks/Export Deptt.

In case of export through CFS/ICDs, after completing the documentary formalities at respective CFS/ICD, the covering documents will be sent to the gateway port through Exports/Steamer Agents in a sealed cover by officer incharge of CFS/ICDs. These documents in the same sealed status shall be presented to the officer incharge of gateway port supervising the entry of goods inside the Docks. After endorsement of the presented document and authentication by putting name and stamp of the officer incharge the documents will be forwarded to Export Department for despatch to the concerned ICD through Exporters/Agents in a sealed cover and a record shall be maintained in the Export Department.

Export department will also maintain a register indicating the full details of name of vessel, PC No. Rotation Number, Nos of Shipping bill, Nos of Containers and name of ICD/CFS etc. against original and duplicate Transference copy received from the docks. A monthly statement will also be sent by the Export Deptt. to the respective ICD/CFS in order to have a double check and ensuring the timely communication of such Transference copies. This statement would be required to be issued under the signature of the AC/DC in-charge Export by the 5th of the month following and a copy of the same would be endorsed to the Jt. Commissioner/Addl. Commissioner in-charge.
